The Manager, Executive Assistants, will support the office of the CEO and President and provide leadership to the Executive Assistant team.

You will work independently, in a proactive manner, using good judgment to support the work of the CEO, communicating with all levels of stakeholders (internal and external) to ensure credible transparency and accountability for all levels in the organization and ensuring the smooth functioning of the ExecutiveOffice.Along with your solid understanding of large, complex organizations, you’ll bring with you a high degree of business acumen, a commitment to customer service excellence, and a practised sense of discretion and confidentiality that will enable your success.

You have proven leadership experience and you enjoy encouraging and motivating a team of Executive Assistants.Colleagues have described you as a combination of a big picture thinker who can turn ideas into action and a detail-oriented professional who enjoys mapping out processes and implementing improvements.As the ambassador for the Executive Office, you will:
• Be accountable for becoming a subject matter expert regarding the corporation’s business
• Prioritize incoming requests, busy calendar requests and delegate tasks to Executive direct reports
• Draft, edit and format documents and divisional reports for the CEO
• Coordinate and prepare for meetings including follow-up items
• Manage external relationships with stakeholders and travel arrangements
• Liaise with senior staff to ensure briefing materials are prepared for the CEO on key issues
• Oversee individual and corporate expenses, including travel arrangements and manage budget reports as required
• Superb, advanced knowledge of Microsoft Office, including Outlook, PowerPoint, Word plus working knowledge of SharePoint
•Build upon the trusted and effective working relationship with the direct reports to the CEO and the administrative assistants within the divisions.Position RequirementsAs the Manager of the Executive Assistant team, you will:
• Be responsible for the Executive Admin (EAs) performance and development
• Ensure the EA team is up to date with departmental goals
• Coordinate administrative support for the Executive office
• Train, coach and develop EAs to successfully achieve objectives
• Act as a role model and promote a community of practice among confidential administrative staff sharing standard tools developed by EAs
• Lead any recruitment process for the EA team
• Promote a healthy team environment by being solutions oriented.**Only candidates legally entitled to work in Canada at present will be considered for this position**To be successful in this position the candidate will have several years’ experience at the senior executive assistant level and be an innovative problem solver with sharp attention to detail and excellent writing skills.
