Property Administration Analyst

This is a Contract position in Calgary, AB posted June 1, 2019.

The Property Administration Analyst is responsible for the monitoring of cost control projects to ensure accuracy and completeness and monthly updating of spreadsheets.

The job holder actively participates in operational budgeting as well as the forecasting process.

The Property Administration Analyst is accountable for the timely transmission of financial and leasing data as well as receipts and disbursements to Head Office.

The Property Administration Analyst is also responsible for monitoring the Purchase Order System, to ensure timely flow of approvals and payment of invoices and is accountable for reconciliation and billing tenants.

Responsibilities:
• Complete analysis, interpretation and resolution of the various Real Estate reports.

• Monitor Purchase Order system to resolve any issues or problems that are escalated by the Administration Specialist/Administration Assistant.

Follow up with Head Office to ensure accurate and timely settlement of outstanding payables/receivables.

• Assist Property, Facility, and Project Managers in monthly monitoring of cost control projects to ensure commitments and budgets are not exceeded.

• Monitor aged receivables, initiate collection calls, follow up, documentation and perform the collection process through completion.

• On a monthly basis, prepare leasehold client charge back and ensure any overruns are invoiced accurately to clients.

• Assist in the preparation of the annual budgets and the preparation of quarterly forecasting, including input of operational and shared services income and expenses.

• Prepare relevant documentation for year-end tenant recoveries for input into Yardi, maintain normalized and amortization schedules relevant for the year end recoveries and new charges, assist in the preparation of tenant rent schedules
• Support the Real Estate Office in analyzing and resolving financial accounting issues as they arise.

• Be the daily point of contact for tenants and vendors on billing and reconciliation issues.

Follow up with tenants and vendors to ensure satisfaction.

• Month end budget to actual reconciliation, provide accurate analyses and accruals input
• AP coding/PO linking into Yardi
• Provide relief for administrative functions.

May include preparing purchase orders, initiating tenant service requests to be addressed by Building Operators, follow up to ensure issues are resolved effectively and provide daily reception relief.

• Post-secondary education an asset, preferably in finance or accounting.

• Minimum three years accounting experience required, preferably in Real Estate.

• Organize records in a manner in which they can be quickly retrieved for queries, investigations and internal and external audits
• Effectively build strong working relationships with Head Office staff.

• Excellent verbal and written communication skills with ability to build and maintain effective relationships.

• High level of accuracy and attention to detail required.

• Strong organization and time management skills in order to meet tight deadlines with the ability to adapt to changing priorities.

• Proven ability to work as a team player and independently.

• Sound analytical and problem solving skills, with the ability to interpret complex accounting data.

• P.C.

literate, with working knowledge of Microsoft applications and Real Estate systems, such as Yardi and general ledger systems.

• Influence and negotiate with others within Head Office and Regional Office to meet deadlines.
